In this section, we outline the process of file handling right from receiving it to the upload stage. Some systems that are a part of checking a file are explained in detail in the following sections.
For all translation check assignments, we will send you the following:
Email with complete assignment details
Original Japanese file
Translated file
Reference files (if any)
Technical checklist (if any)
Questions Sheet
Key Responsibilities
i.Start: Work on the file translated by the Translator. The original version MUST be constantly referred to during translation check. Rename this file as OriginalFilename_Checker.doc (e.g. ABCDE-1_Checker.doc).
ii.Fluency: You may have to expend efforts on enhancing the fluency of the document. Check the overall language and tone of the file. Ensure there are no technical gaps in the paper.
iii.Comments in File: Attend to Translator’s comments and accordingly make revisions. Address “For T” comments (if any in the file) as we may have not been able to get clarification from the Translator due to paucity of time.
iv.Protocols: Keep in mind the points on how to proceed with handling file types, reference files, and formatting.
v.Quality: Focus on meeting the service expectations and quality parameters.
vi.Technical Checklist: Make sure that the technical checklist has been strictly followed and its terms are highlighted in magenta in the translated file. In case you feel that the term suggested by the client is incorrect and the Translator has given a suggestion or revised it, then retain the correct suggestion and add a remark in the target language for the client.
vii.Communication with Translator: If you want the Translator to address some changes, then please insert comments labeled “For T” in the file and send it to the Translator via ulatusCommunicate and get them resolved. In case of a tight deadline, indicate this in the upload form.
viii.Communication with Client: If you are unsure of the translated text and require client clarification, use ulatusCommunicate/Questions Sheet to query the author. In case the client is unavailable, please write a remark for the client in English in the Remarks file. Notify the client of any valid instance of liberal translation (e.g. addition of content) in the Remarks file.
ix.Ensure that you
Use Roman (English) font (size 12) for all English text in the document and run spell check and ensure that the file is error free. Please do not use Mincho fonts for the English text.
Work with Track Changes ON and do not accept Track Changes. Do not use strikethroughs, different color fonts, or any other means of indicating your changes
Sometimes you may notice highlights inserted by the translator for unclear or ambiguous parts. In such cases, please clarify those instances and leave a note for us explaining the significance of those highlights.
x.Upload: Fill the assignment upload form and give accurate ratings. The Translation Summary section is a very critical section that collects information on the assignment. Your inputs at this stage can help us take any necessary action to further improve the quality of the file. Please read Section 5 (iii) for more information
Note that you are the last person working on the files and no one is checking the translation output after you. Our expectation from you is a client-ready file meeting our quality standards.
